Getting started
How do I sign up?
Go to Get started. Click Sign up with Google, or type your name, email and a password. With email, we send you a link to confirm your address; click it and you're in.
Business or personal: which should I pick?
Pick My business to track sales, profit after tax and fees, expenses, employees and tax deadlines. Pick My personal money for spending, income, bills, reminders, budgets and savings goals.
You can have both. After you sign up, click your name at the top and choose Add a personal budget or Add a business. Then switch between them with the buttons at the top of the page.
Is BuckLoad really free?
Yes. There's no trial and no card to enter. If we ever add paid plans, we'll tell you at least 30 days before anything changes, and you'll always be able to download your data.
Can I try it before signing up?
Yes. Open the business demo (a made-up bakery) or the personal demo (a made-up household budget). Click around and add things; nothing is saved, and reloading the page starts it over. Emails aren't sent from the demo.
Can I use it on my phone?
Yes, in any phone browser. You can also install it like an app, with its own icon:
- iPhone or iPad: open buckload.com in Safari, tap the Share button, then Add to Home Screen.
- Android: open it in Chrome, tap the ⋮ menu, then Install app (or Add to Home screen).
- Computer: in Chrome or Edge, click the install icon at the right end of the address bar. Or sign in, click your name, and choose Install BuckLoad on this device.
What's the "Getting started" checklist?
A short list of first steps that ticks itself off as you go. Click a step to jump to it. Click Hide if you don't need it.
Your business
How do I add what I sell?
Open Products. Type the name, your price, and what each one costs you (parts, materials, or fees you pass on). Tick Charge sales tax for taxable items; untick it for labor and services that aren't taxed. The preview shows what you keep from each sale.
How do I change the order of my products?
On Products, use the ↑ and ↓ buttons next to each product. The sale form and invoices list them in that order, so put the ones you sell most at the top.
How do I record a sale?
On Sales, tap one of your products (your best sellers show as big buttons; tap again for one more) or pick it from the list, or choose Custom item for a one-off. Change the quantity or price if needed, tap how the customer paid, and click Save sale. BuckLoad takes out the sales tax, the card fee and your cost, and shows your profit.
Your cost each sits next to the price; change it for this sale if your materials or pass-through fees were different. A discount, an earlier date or a note are under Discount, date or note. The line shows what's set, so nothing is hidden by surprise.
Whether prices already include tax is set in Settings.
What's on the Overview?
The Overview is your business's home screen. It opens on Today: money taken in, expenses and net profit (after sales tax, payment fees, what things cost you and expenses), plus a fourth number for the bigger picture: the month so far when you're looking at a day or a week, the year so far for a month or a quarter, and what customers owe you on invoices for a whole year or dates you pick. Tap any number to see how it's worked out.
Pick Today, Week, Month, Quarter or Year, then use the arrows to step back to an earlier one, like yesterday or last month. Pick dates lets you choose any start and end date. In Money in by day, tap a bar to see that day's money in, number of sales and profit. In Settings you can turn on comparing each number with the period before (or the same dates last year), and more numbers: how many sales, the average sale, profit margin, sales tax collected, payment fees, and refunds and discounts.
Needs your attention lists invoices that are past due or due this week, estimates waiting for an answer, products running low, tax deadlines in the next two weeks, expenses missing a receipt, and a cash drawer that wasn't closed out. There's also a chart of money in, your best sellers and your latest sales and expenses. Employees don't see the Overview, because it shows profit. Tap ✕ on anything you've already seen to hide it; it comes back if it changes, and Show hidden brings them all back.
Where's the menu on my phone?
On a phone, your main sections are in the bar at the bottom of the screen. Everything else (Reports, Products, Settings, Team and your account) is under More. On a computer, every section is in the menu on the left.
How do I give a discount?
On a sale, type the discount under Discount and pick % off or $ off. On an invoice or estimate, the Discount under the lines takes it off the whole thing. Discounts come off before sales tax, so the tax is right, and Reports shows how much you gave in discounts.
Can BuckLoad keep count of my stock?
Yes. In Settings, tick Keep count of how many of each product I have. Then on Products, edit a product and enter how many you have now, and when to warn you (for example at 3). Leave it empty for services you don't count.
Every sale, and every paid invoice with that product on it, takes the count down. A refund where you tick "I got the item back" puts it back. When something runs low or out, you see a warning on Sales and a number on the Products tab. When a delivery comes in, click Stock next to the product and enter how many came in, or the number you counted.
Can my Square sales come in by themselves?
Yes. The owner opens Settings → Square sales, clicks Connect Square and signs in to Square. BuckLoad can only read your Square sales; it can't charge anyone or move money. From then on, each sale you ring up on your Square reader or app shows up in Sales within a minute or two, with Square's real fee, the sales tax and any tip. Items with the same name as one of your products bring that product's cost (and count against your stock). Refunds in Square come in as refunds.
Only sales from the moment you connect come in, so sales you already typed in aren't counted twice. To bring in older ones, change Bring in sales from. If you have more than one Square location, pick which ones go into each business. A Square sale you delete in BuckLoad stays deleted.
A customer paid two ways (cash and card)
Tick Split payment on the sale, then enter how much went on each method. The card fee is only charged on the card part.
How do I refund a sale?
Find the sale in Recent sales and click Refund. Enter the amount (all or part). Owners can choose whether the card fee and your cost come back. Refunds show in reports as negative sales.
How do I change my tax rate or card fees?
Open Settings. Enter your full local sales tax rate (your state's rate plus any city, county or district tax; in California, for example, 7.25% plus district tax). Under How you get paid, set each method's fee; for example, Square is 2.6% + 15¢ in person. You can add methods like Venmo or a card reader.
How do I add expenses and receipts?
On Expenses, type what it was for, the amount, the category and how you paid. Attach a photo or PDF of the receipt (up to 10 MB). You can add a receipt later with Add receipt.
For rent, internet and other bills that come every month, tick Repeat every month and BuckLoad adds them for you on the same day each month.
Can it read a receipt for me?
Yes. On Expenses (or Spending), click Read a receipt photo and take or pick a photo. BuckLoad reads the store name, the total and the date, picks a category, and attaches the photo as the receipt. Check it and click Add expense.
The photo is read on your phone or computer; the first time takes a few seconds while the reader loads. It works best with the whole receipt flat, in good light. If something's wrong, just fix it before saving.
How do I send an invoice?
Open Invoices and click New invoice. Pick the customer (or add a new one right there), add your products or type your own lines, choose the payment terms, and save.
Then send it. Email it sends your customer an email with a link to the invoice (they can view it, print it or save a PDF without signing up), and their replies come to the email in your business info. If you have the customer's mobile number, Text it opens your messages app with a short note and the link filled in, on the link they can see it, sign it and pay. To keep your own number private, get a free Google Voice number and text from voice.google.com on your computer: tap Copy message and paste it there. You can also Copy link to send it any other way, or Download PDF to attach or print. Each invoice shows when it was last emailed.
Can I add a description of the job?
Yes. Each line has a box for its details right under it, for example what's included or the part number. Give a product a Description for invoices on Products and it fills in by itself when you add that product. For the whole job (the vehicle, the address), use Description of the whole job under the lines; it shows above the lines on the invoice, the PDF, the printout and your customer's link.
My staff made an invoice in the wrong business. Can I fix it, or stop it happening?
Yes, both. Invoices go into the business that's open when they're made. To move one, open it and tap Move to another business (owners only). The estimate it came from and, if it's paid, its sales move with it, so the money shows up in the right business, and your customer's link keeps working.
To stop it happening, open the business that never sends invoices (a registration counter, say), go to Settings and untick This business makes invoices and estimates. Anyone who goes to make an invoice there is sent to your other business instead.
How do I find an old invoice?
Type in the search box above the list on Invoices: the customer's name, the car, the VIN (the last few digits are enough), a phone number, the invoice number or the amount. It looks in the job description, each line and its details, your notes and the customer's notes, and shows where it found it. Type more than one word to narrow it down. It searches the tab you're on, so pick All to look through every invoice.
Can my customer sign an invoice or estimate?
Yes. Tick Ask for a signature at the bottom when you make it. Your customer can sign on the link you send them, with a finger or the mouse, and type their name. Or, if they're with you, open it and tap Sign in person to have them sign on your phone or computer. Once it's signed, you see Signed in your list, and the signature, name and date are on the invoice, the PDF and the printout. A printed copy that isn't signed yet has a line to sign by hand.
If you change the amounts, lines or description after it's signed, the signature is removed, so ask them to sign again. To ask for a signature on every new invoice and estimate, tick that option in your business info at the top of Invoices.
How do I print an invoice?
Open the invoice or estimate and click Print. Only the invoice prints, with your business info at the top, on a computer or a phone. A customer who's with you can also scan Show QR code to pay on an unpaid invoice and pay on their phone; you'll see Paid! as soon as they do, and get an email too (turn it off under your name: Email me when a customer pays an invoice online). You can also choose "Save as PDF" in the print window, or use Download PDF. Your customer can print it from their link too.
How do I know if my customer opened the invoice?
When your customer opens the link, the invoice shows Viewed in your list, and when you open it, it says when they last looked. If you have BuckLoad open at that moment, you'll also see a message. Use Preview to look at the link yourself without it counting as viewed.
Can an invoice repeat every month?
Yes. When you make or edit an invoice, tick Repeat this invoice and pick how often: every week, every 2 weeks, every month, every 3 months or every year. On each date BuckLoad makes a new invoice with the next number and, if you leave Email each new one to the customer automatically ticked, emails it to them. You can set a date for the last one.
The invoice shows when the next one is made. Click Stop repeating on it any time; the ones already made stay.
Can BuckLoad remind customers to pay?
Yes. On Invoices, tick Email customers when an invoice is past due. Unpaid invoices that have the customer's email get a friendly reminder 1, 7, 14 and 30 days after the due date, with the link to the invoice, and replies come to you. Tick Also remind them 3 days before it's due for an early nudge too.
To skip one customer, open their invoice and click Don't remind for this one. Paid and voided invoices never get reminders.
How do I put my logo and business info on invoices?
On Invoices, click Add business info (or Edit) at the top. Upload your logo and add the name customers know you by, your address, phone, email, website and license or permit number, plus a note for the bottom, like how to pay you. It shows at the top of every invoice and estimate, on the PDF and on the customer's link.
Can I fill in a customer from their driver's license?
Yes. On Customers, click Scan a driver's license and take a photo of the barcode on the back of a US driver's license or state ID. Their name and address are filled in for you; add their email and phone and save.
The photo is read on your device and isn't uploaded or saved, and the license number and birth date aren't kept. If it can't read it, take the photo closer, flat and in good light, with the whole barcode in the picture.
A customer paid an invoice. What do I do?
Click Mark paid on the invoice and pick the date and how they paid. Each line is added to your sales on that day, with the sales tax, card fee and your cost taken out, so it shows in your profit, reports and tax deadlines. The customer's link then says it's paid.
Made a mistake? Open the invoice and click Mark unpaid; its sales are taken back out. Use Void for an invoice you're canceling, so your numbers don't skip.
Can I edit or delete an invoice or estimate?
Yes. Click Edit next to it in the list, or open it and click Edit. If it's already paid, its sales are updated to match when you save.
Delete removes it for good, along with the sales it added if it was paid, and its customer link stops working. If you'd rather keep a record, use Void instead. Only the owner can delete, or edit a paid invoice.
How do estimates work?
Click New estimate, fill it in like an invoice, and send the link or PDF. When the customer says yes, open it and click Turn into an invoice; the lines carry over and the estimate is marked accepted.
Where do I see who owes me money?
The top of Invoices shows what you're owed in total and what's overdue; an overdue count also shows on the tab. Customers lists each customer with what they owe and what they've paid. Open a customer to see all their invoices.
How do I log mileage?
On Expenses, use the Mileage log: the date, the miles and what the trip was for. Tick Round trip to double the miles. BuckLoad works out the deduction at the IRS standard mileage rate for that date (72.5¢ a mile for January to June 2026 and 76¢ from July 1, 2026).
Trips to buy supplies, see customers or go to the bank count. Driving from home to your regular workplace doesn't. The deduction shows in Reports and the tax PDF, separate from your profit. If you use the mileage rate, don't also add gas and repairs for that car as expenses; ask your tax preparer which is better for you.
How do I track contractors for 1099s?
When you add an expense for someone you paid for work (not an employee), tick Paid to a contractor and type their name. Reports totals what you paid each contractor and flags anyone who needs a 1099-NEC: $2,000 or more in 2026 ($600 or more through 2025).
Payments by credit card or an app like PayPal don't count toward that, because the payment company reports them. BuckLoad helps you keep track; your tax preparer files the forms.
Can I import my business bank or card statement?
Yes. On Expenses, click Choose a file under Import from your bank and pick your bank's CSV, OFX, QFX or QBO download. Purchases come in as expenses with a category guessed for you; deposits are skipped, because your sales are already recorded in BuckLoad. Check the rows and click Import.
What's the cash drawer?
At the end of the day, open Cash, enter what you started with and count what's there now. BuckLoad compares it with the cash sales and cash expenses you recorded and tells you if you're over or short.
Which payment methods count as cash is set in Settings, under How you get paid: tick Cash next to each one that goes in the drawer. The Cash tab starts turned off; turn it on in Settings under Tabs.
How do I get ready for taxes?
Open Reports. At the top, Tax time shows the year (it starts on last year until April 15) laid out the way Schedule C asks for it: gross receipts, cost of goods sold, expenses and net profit. Look at these first lists anything to fix, like expenses without a receipt or contractors who need a 1099-NEC.
Download tax packet (PDF) gives your tax preparer every Schedule C line, the mileage deduction, sales tax by quarter, contractors and every expense with its line. The spreadsheet has the same for an accountant. Each expense category goes on its usual line; to change one, open Which Schedule C line each category goes on.
For any other period, pick it below Tax time and choose one business or all of them combined. Tax report (PDF) gives a profit and loss statement; the spreadsheet buttons give every sale and expense.
What are the tax deadlines?
Deadlines lists federal and state estimated tax dates, your yearly returns, and your sales tax returns, on the calendar of the state each business is in. Pick the state and how often you file sales tax under State and sales tax schedule on that page, or in Settings. States without an income tax or a sales tax just leave those out. Each one shows the related amount from your books. Tick Done when you've filed or paid. These are reminders, not tax advice; check with your tax preparer.
Can I keep separate books for more than one business?
Yes. In Settings, under Your businesses, add another. Each has its own products, sales, expenses and settings. Switch between them with the buttons above the tabs. Reports can show one business or all combined.
How do I lock a business with a passcode?
Open the business, go to Settings, and set a passcode in the Passcode card. Anyone switching to it, on any device, has to type it first. It locks again when you switch away or reload. Forgot it? Click Forgot the passcode? and type your sign-in password instead.
This is a privacy screen for a shared computer. Who can open which business at all is set in Team.
How do I add an employee? What can they see?
In Team, type their email, pick which businesses they can use, and click Send invite. We email them the invite; they make a login with that email and they're in. You can also copy the link and text it to them.
Under What they can do, tick what they're allowed to do: ring up sales and refunds, add expenses and receipts, close out the cash drawer, and make and send invoices and estimates. The first three are ticked for you. They only see the tabs for what you ticked.
To change it later, tick or untick boxes next to their name in Team; it's saved right away and applies the next time their app loads. Employees never see profit, costs, reports or settings, and they can't delete anything. An employee who makes invoices can edit ones that aren't paid yet, and can mark one paid only if they can also ring up sales.
How does the cash forecast work?
Open Cash forecast, type what's in the business bank account now, and tap Update. BuckLoad adds the invoices customers still owe on their due dates (and late ones a week from now, if you want), plus repeating invoices, and takes out your monthly bills. It also adds what you usually take in at the counter (after card fees and sales tax) and takes out your other usual spending, from the last 8 weeks. Set Warn me below to see a tight week coming.
Is there a balance sheet?
A simple one, at the bottom of Reports: cash in the bank (from Cash forecast), money customers owe you, stock at what it cost you, plus anything you add yourself, like equipment, a vehicle, a loan, a credit card or sales tax you've collected but not paid. What it has minus what it owes is your equity. Download it as a spreadsheet. It isn't double-entry accounting, so ask your accountant before giving it to a lender.
Can my accountant see my books?
Yes. In Team, choose Your accountant, type their email and click Send invite. They see every business: sales and profit, expenses with receipt photos, invoices, customers, mileage, reports and deadlines, and they can download the tax report and spreadsheets.
If they use QuickBooks or Xero, Reports has For QuickBooks or Xero (CSV): one line a day for each way you got paid, its card fees, and every expense, in the format their bank-statement import reads.
They can't add, change or delete anything, and they don't see your settings or team. Remove them in Team when you're done.
Your own money
How do I track spending?
On Spending, type what it was, the amount, the category and how you paid. The Overview shows what you spent this month, by category.
What does "Left to spend this month" mean?
It's on the Overview: the money that came in this month plus the paydays still coming, minus what you've spent, the bills still due and what you planned to put toward savings goals with a date. It also says about how much that is a day for the rest of the month.
For it to be right, set your paycheck to repeat in Income and add your bills in Bills & reminders.
Can BuckLoad show if I'll run short before payday?
Yes. Under Your balance ahead on the Overview, enter what's in your checking account now (and, if you like, a cushion to stay above) and click Update. BuckLoad adds your paydays and takes out your bills day by day for the next 30, 60 or 90 days, plus what you usually spend on everyday things, and warns you if your balance could drop below $0 or your cushion, and when.
Open What if… to try a one-time purchase or extra money and see how it changes things. What-ifs aren't saved. Update your balance now and then for the best picture.
How do I see my spending over time?
Spending over time on the Overview shows what you spent each month for the last 6 or 12 months, for everything or one category. The table shows each category's monthly average, last month and this month so far, and whether last month was up or down, so you can see where your money is creeping up.
How do I import my bank transactions?
First download your transactions from your bank's website. It's usually on the account page under Download, Export or Statements and documents. Choose a date range and either CSV (sometimes called "Excel" or "spreadsheet") or Quicken / QuickBooks (OFX, QFX or QBO). An old Mint export works too.
Then in BuckLoad, open Spending and click Choose a file under Import from your bank. Check the columns at the top match your file, look over the rows (each can be Spending, Income or Skip, with a category), and click Import.
Transfers and credit card payments are skipped by default so the same money isn't counted twice. Importing the same file again won't add anything twice.
To make sure nothing is missing, open Check it against your statement and type the starting and ending balance from your statement. BuckLoad tells you if the file adds up, or how far off it is. Quicken and QuickBooks files usually fill in the ending balance for you.
Can I split one purchase between categories?
Yes. When you add spending (or edit it), click Split across categories under Category and give each category its part. Leave the last amount empty and it gets whatever is left. Budgets, Where it went and your reports count each part in its own category.
What are tags for?
Tags are words you add to spending so you can find it later, like vacation, kids or wedding, across any category. Tap a tag in the list (or search #vacation) to see everything with it and what it adds up to.
Can I hide the amounts on screen?
Yes. Tap Hide amounts (the eye at the top of each page) and every amount shows as $•••, until you tap it again. It's remembered on that device only. Downloads, printed invoices and emails to customers still have the real amounts.
Can imports sort themselves into the right category?
Yes, with sorting rules. While importing, change a row's category and click Always: from then on, anything from that place goes in that category. You can also add rules yourself under Sorting rules (for example, "shell" goes in Gas & transport, or "transfer to savings" is skipped). Rules work for business expenses too.
What are "repeating charges"?
BuckLoad looks through your spending for charges that come back at the same amount every week, month or year, like streaming services, apps and memberships, and lists them on Spending with what they cost you a year. Cancel what you don't use, click Add as bill to track the rest, or Not repeating to hide one.
How do I add my paycheck so it repeats?
On Income, type where it's from and the amount, set the date to your next (or last) payday, and pick how often it repeats: every week, every 2 weeks, twice a month, or monthly. Each payday is added automatically. Edit, pause or stop it under Repeating income.
How do bills work?
On Bills & reminders, add each monthly bill with its amount and due day. If it's on autopay, it's added to your spending on the due day by itself. If not, it shows as due, and you tap Paid when you pay it.
Pick Remind me to get an email before it's due.
For bills that come once a year (car registration, a yearly insurance payment, a membership), choose Once a year and the month. BuckLoad shows how much to set aside each month for them under Budgets & goals.
Is there a calendar of my bills?
Yes, on Bills & reminders. It shows each bill on its due day, your paydays and your reminders, so you can see whether rent lands before or after payday. Use the arrows to look ahead, and tap a day to see what's due.
How do reminders work?
Add anything you need to remember (car registration, a yearly membership, a doctor's bill) with a date, and choose whether it repeats. Tap Done when it's handled; a repeating one moves to its next date.
How do budgets work?
On Budgets & goals, pick a category and a monthly limit. The Overview shows how much is left this month, and turns red when you go over.
Tick Carry what's left into next month and anything you don't spend is added to next month's limit (and going over takes it away), so a quiet month can pay for a busy one.
Not sure where to start? Click Start from a template, pick Just me, Couple or Family, and enter your take-home pay. BuckLoad suggests a budget for each category (using your bills where you've added them) and shows what's left for savings. You can keep the budgets you've already set, and change any of them afterwards.
How do I track my net worth?
Open Net worth and add what you own (savings, investments, your car or home) and what you owe (credit cards, loans, a mortgage) with today's balance. Click Update now and then, once a month is plenty, and a line shows how your net worth changes over time.
How do I make a plan to pay off debt?
Add each debt on Net worth with its interest rate and minimum payment. The Debt payoff plan shows when you'll be debt-free and how much interest you'll pay. Enter how much extra you can pay each month to see how much sooner you'll finish.
Highest interest first saves the most money. Smallest balance first clears a debt sooner, which helps some people keep going. BuckLoad shows the difference.
How do savings goals work?
Add a goal with a target, and optionally a date to reach it. Click Add money each time you put some away. If you set a date, BuckLoad tells you how much to save each month to get there.
Can I share my budget with my partner?
Yes. In Household, type their email and click Send invite. We email them the invite link. They see and edit the same spending, bills, budgets and goals from their own login. Only the person who started the budget can remove members or delete it.
Do you connect to my bank account?
No. BuckLoad never asks for your bank login. You import the file you download yourself, and it's read in your browser.
Emails
What emails does BuckLoad send?
- A welcome email when you sign up.
- Invite emails, when someone invites you to their business or household budget.
- Bill and reminder emails, from 8am your time on the reminder day you chose.
- A monthly summary on the 1st: money in and out, top categories, budgets and goals for a personal budget, and sales, profit and expenses for a business.
- For businesses, to your customers: invoices you email, repeating invoices you set to email themselves, and payment reminders if you turn them on. These come from invoices@buckload.com with your business's name, and replies go to you.
- Account emails: confirming your address and resetting your password.
How do I turn emails off?
Click your name at the top of BuckLoad. Under Emails, untick bill reminders or the monthly summary. Account emails can't be turned off.
I'm not getting the emails
Check your spam or junk folder, and mark the email as "not spam". Add reminders@buckload.com, hello@buckload.com and noreply@buckload.com to your contacts. Also make sure reminder emails are on (click your name at the top).
Account and data
How do I turn on two-step login?
Click your name, then Turn on two-step login. Scan the QR code with an authenticator app on your phone (Google Authenticator, Microsoft Authenticator, 1Password and others work), or type the key it shows, then type the 6-digit code the app gives you. From then on, signing in asks for a fresh code after your password. To turn it off, click your name and Turn off two-step login.
Lost your phone? Contact us from your account's email address and we'll help you get back in.
How do I show or hide tabs?
To keep the menu short, some tabs start turned off: Customers, Cash and Tax deadlines for a business, and Net worth for a personal budget. Turn any tab on or off in Settings (business), Household (personal budget), or by clicking your name at the top. Turning a tab off doesn't delete anything.
How do I get rid of the "Getting started" list?
Click Not now to hide it until you come back, or Don't show again to hide it for good, on every device you use.
I forgot my password
On the sign-in page, click Forgot your password?, type your email, and use the link we send to set a new one. If you signed up with Google, just click Continue with Google.
How do I change my name or password?
Click your name at the top of BuckLoad. Change your name, or type a new password twice and click Change password.
How do I download my data?
Click your name at the top, then Download my data. You get one file with everything you can see in every business and budget you belong to. Business owners can also download a backup of a company in Team, and spreadsheets from Reports.
How do I delete my account?
Click your name at the top, then Delete my account, and type DELETE to confirm. This deletes your login, plus any business or budget you started, for everyone in it. You're removed from ones other people started; their books stay. It can't be undone, so download your data first.
Is my data safe?
Your connection to BuckLoad is encrypted, and every company's and household's books are kept apart by security rules in the database itself, so other accounts can't read them. Receipt photos are private and shown only through short-lived links. Employees see only what you allow. Use a strong password, and don't share your login.
